Funding and Employment Opportunities

In addition to financial aid in the form of grants, loans, work-study and scholarships, prospective and current graduate students may be eligible to apply for various graduate employment opportunities on campus. Examples of positions include Gradaute Assistant, Graduate Coordinator, Resident Director, Research Fellow, or Teaching Fellow. Positions are funded and hired by the academic and administrative units, therefore compensation packages vary based on the nature of the job responsibilities and available funds. Academic merit funding, such as Fellowships, are typically awarded as part of your admissions package and will not be advertised here. Rowan University adheres to the Council on Graduate School’s “April 15th Resolution” found here.

This position offers hands-on experience in areas of: event planning and execution, supervision, contracting, budgeting, marketing, assessment, and evaluation. This position directly reports to the Assistant Director of Rowan After Hours.


Position Requirements

The GC for the SCCA must possess a Bachelor’s degree and be enrolled as a full-time graduate student at Rowan University. The graduate assistantship is contingent upon enrollment in the graduate program. Enrollment in the Higher Education Administration program is preferred, however not required. This position will require weekend and late night hours (approximately 7:30 PM – 1:30 AM). This position requires 20-25 hours weekly to be divided between office and programming hours. Additional employment outside of the SCCA must be reviewed and approved by your direct supervisor. 


Job Description

· Event Management (50%) 

o    Assist in the overall development and implementation of Rowan After Hours, the late-night and weekend programming model at Rowan University

o    Work directly with student clubs & university offices/departments to plan co-sponsored events

o    Process and negotiate contracts with outside agencies

o    Serve as supervisor for over 70 RAH on-campus programs throughout the academic year, including providing staff supervision, leadership, hands-on training, risk management, etc.

· Special Events Management (25%)

o    Assist in the planning, promotion, and execution of SCCA special event programming initiatives including South Jersey Vendor showcase, Poster Sale, Haunted Student Center, Cram Jam, Welcome Week, etc.

o    Oversee consistent SCCA programming initiatives, such as weekly Profs Place Trivia series

o    Supervise SCCA Special Events staff and volunteers, including the recruiting, training, and evaluation of team members

· Student Staff Supervision (15%)

o    Assist in the hiring, training, and supervision of approximately 20 undergraduate student staff and 5 undergraduate student coordinators

o    Attend weekly student staff & coordinator meetings

o    Directly supervise student coordinators and their specific committees

· Departmental Support  (10%)

o    Assist with the planning of staff retreats/trainings, banquets, and all-staff meetings

o    Assist with assessment initiatives and data collection

o    Chaperone one SUP off-campus trip per semester

o    Represent the department at all Admissions events including Open Houses & Accepted Student Receptions

o    Assist with the planning and execution of major SCCA programs and campus-wide committees/events

o    In the event of inclement weather, be called upon to assist in any capacity deemed necessary to support departmental operations

o    Other duties assigned


About Rowan After Hours

Rowan After Hours is Rowan University’s late-night and weekend programming model. It was designed to provide students a safe and enjoyable environment on the weekends. Rowan After Hours takes place every Thursday, Friday, and Saturday night from 9 PM to 1 AM. 

Remuneration

· Full tuition waiver (in and out of state), not including fees. Funding is up to 36 credit hours. Funding beyond 36 credit hours will be reviewed by the Director

· On-campus furnished apartment in the Townhouse Community Complex

· $11,000 stipend per year

· $500 on your Rowan Card per semester, which can be used for books and food

· Professional development funds can be made available upon request per budget allotment

· Graduate Coordinator parking permit provided

Job Description

· Co-Advise the Student University Programmers (SUP) (70%)

o    Directly advise an executive board of 12 members & oversee volunteer management of over 50 volunteers throughout the year

o    Advise students on program planning, University contracting, liability/risk management, insurance, assessment and other current issues in the field of campus events

o    Manage a $400,000  programming budget & oversee all university contracts

o    Assist in the planning, execution, and coordination of the university-wide Welcome Week(s) initiatives

o    Oversee hiring for the programming board

o    Attend weekly meetings and staff bi-weekly movie night events

o    Support on-campus events through supervision and leadership

o    Assist in the coordination of marketing for all SUP events including print, digital, and more

o    Oversee and coordinate all off-campus trip chaperones (when applicable) and serve as on-call emergency support for day-of trip needs

o    Hold and oversee performance evaluation meetings on semesterly basis

· Homecoming Committee Responsibilities (20%)

o    Co-Chair the university-wide Homecoming Committee with the Assistant Director – Marketing & Student Programs, which includes oversight of budget, event planning & operations, volunteer management, etc.

· Event Operations (50%)

o    Utilize and manage 25Live event scheduling software
Communicate and coordinate with the Administrative Assistant, Professional Staff, and Senior Building Maintenance Supervisors for the Chamberlain Student Center

o    Create and revise room layouts for each event using the online software, Social Tables

o    Utilize project management tool Airtable to efficiently manage the status of all events, including supervising student workload

o    Assist with vendor table requests throughout the Chamberlain Student Center

o    Organize meetings and communicate with clients to design their event setup

o    Assemble and distribute daily set-up packets for maintenance/setup staff

o    Collect EOT approvals from University Events and update 25Live reservations

o    Manage customer event follow up and obtain customer satisfaction via survey, post-event emails, etc.

o    Invoice customers and follow up with event billing

o    Some facility management & day of event management will be required, including high-profile events relating to the President’s Office and the Board of Trustees

· Student Staff Supervision (40%)

Graduate Community Director Position Description
2023-2024 Academic Year


Reporting to their assigned Area Coordinator, the Graduate Community Director (CD) is a 10-month graduate student position serving as a key paraprofessional member of Residential Learning and University Housing (RLUH). The Graduate Community Director leads a staff of undergraduate Community Assistants (CAs) in efforts to develop a safe, supportive and inclusive community; promotes learning outside the classroom through delivery of co-curricular programs; and coordinates the overall operation of the assigned residential community.


The following description addresses the general duties and responsibilities of the CD position. This document does not cover all job expectations or specific procedures for completing these responsibilities. All staff are expected to review and abide by additional policies and specific procedures described in other documents including staff manuals, as well as all
local, state and federal laws.


Supervision of Community Assistants:
● Supervise a staff of CAs in the assigned hall(s)
● Lead weekly staff meetings and hold regular 1-on-1 meetings with CAs
● Provide ongoing guidance and feedback to CAs and complete a formal evaluation of CA performance once per semester
● Assist in the recruitment, selection and training of CAs
● Assist in facilitating in-services and staff development activities
● Oversee residential curriculum/social mapping process facilitated by CAs for their areas
● Oversee CA 1:1s with residents


Contact with Residents:
● Know residents of the assigned building(s) and be available to residents during office hours, through attendance at
in-hall programs, and via informal interactions in the assigned residential community
● Be responsive to resident requests and inquiries and supportive of students’ needs. Be especially attentive to individuals who show signs of distress
● Demonstrate respect for the differing lifestyles, opinions, and values of residential students
● Provide direct assistance to residents by mediating roommate conflicts and disagreements
● Become familiar with a variety of campus-wide resources, organizations, and services in order to expedite appropriate student referrals


Program Planning:
● Oversee and guide CAs in the implementation of programs that support student learning within an established programming framework
● Develop plans to evaluate programs throughout the academic year according to established guidelines
● As applicable, oversee an in-hall budget to support programming efforts
● Complete administrative forms related to financial transactions and programming activities


Policy Compliance and Enforcement
● Know University and RLUH policies and how they pertain to the residences
● Role model and abide by University policies as well as local, state and federal laws
● Address and document suspected / alleged violations of University policies or refer violations to professional staff or Police as appropriate


Mandatory Reporter
● The person in this position is designated as a Campus Security Authority (CSA) and is required to report information about crimes in compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus
Crime Statistics Act also known as the Clery Act [20 U.S.C. § 1092(f)]. In addition, the person in this position is regarded as a mandated reporter regarding child abuse and neglect and other misconduct including sexual
violence and harassment. This includes any information shared in reference to any possible physical abuse, sexual abuse or neglect of a person underthe age of 18 which must be reported immediately to your direct supervisor within 24 hours of information per the Protection of Minors policy. Specific policies and procedures for reporting will be covered in training.


Student Discipline Processes:
● Serve as a campus hearing officer within the student discipline system under guidance from the Assistant Dean of Student Life and the Dean of Students
● Follow established protocols related to investigation and adjudication of cases of student misconduct
● Coordinate delivery of sensitive letters to students related to student discipline proceedings and other matters as assigned


Duty:
● Participate in the all-day-and-overnight On Call Coordinator (OCC) duty rotation as assigned and carry and answer duty phone while on duty
● Coordinate the CA duty schedule for the assigned residential area
● Respond to calls to provide emergency and other assistance to residents as appropriate
● Review CA duty logs and other appropriate administrative forms, and hold staff accountable to protocols and procedures related to staff duty
● Assume responsibility for keys, tools, rosters, and other items and keep these items secure and in good condition
● Responsible for finding duty coverage if class attendance is outside of Glassboro and/or if class does not permit for graduate staff to leave for an incident
● Contact students’ registered emergency contacts for hospital transports reported to on-duty/on-call staff via Public Safety or as instructed by senior staff. Support will be provided by supervisor as needed.

Housing Operations/Maintenance/Housekeeping
● Coordinate check-in, check-out and room change processes, and distribute and collect room keys throughout the year as necessary
● Notify the housing office of any unauthorized room changes or occupants
● Coordinate completion of building walk-throughs to document and report maintenance issues
● Coordinate completion of detailed room condition reports and inventories
● Report maintenance and housekeeping problems in assigned areas or in common areas (stairwells, lounges, lobbies, and exterior areas) via work order system
● Track completion of work orders and alert professional staff to any work orders which are not completed in a timely manner, or which require expedited attention
● Communicate standards of cleanliness and care for facilities and common areas to residents
● Encourage mutual respect and cooperation among residents and between residents and housekeeping staff in meeting standards of cleanliness and care for facilities and common areas


Security and Safety:
● Promote residents’ awareness of their surroundings and safety
● Accurately document incidents that relate to student safety
● Assist with emergency preparedness programs, including fire drills
● Coordinate in-hall health and safety inspections each semester
● Report any tampering or damage to the emergency equipment (fire extinguishers, fire doors, emergency lights, etc.)
● Notify Public Safety / Police or professional staff of any safety or security concerns


Emergencies:
● Intervene in crisis situations by assessing circumstances, responding appropriately, and discerning when additional professional staff or Public Safety should be called
● Report serious incidents, injuries or illnesses to professional staff immediately or as soon as possible
● Provide assistance to students in obtaining medical care when needed
● Remain available at the assigned building to assist and support emergency personnel during emergencies unless directed to or given permission to leave
● Know and be willing to participate in crisis intervention procedures


Meetings and Training:
● Must attend and participate in extensive CD and CA training sessions prior to the opening of campus residences for fall and spring semesters (specific dates and expectations TBA)
● Facilitate weekly building staff meetings
● Schedule and facilitate regular 1-on-1 meetings with CAs
● Schedule and attend regular 1-on-1 meeting with supervisor
● Assist with, attend and actively participate in in-service trainings throughout the year
● Must primarily reside in assigned campus residence during the term of employment


Administrative Area:
● Serve as office manager for assigned building office and maintain a professional office setting
● Submit weekly reports to supervisor
● Serve on assigned departmental committee
● Manage implementation of administrative processes, i.e. bed verifications, health & safety inspections


Academic Expectations:
● This position is contingent upon the Graduate Community Director remaining in good student conduct standing and academic standing. CDs are expected to maintain a 3.0 cumulative and term GPA. You will need to submit your transcript from the previous semester and class schedule for the upcoming semester at the end of each term. A new class schedule must be submitted if you make any schedule changes.

Expected Time Commitment: The CD position requires an extensive time commitment. Throughout the academic year, Graduate Community Directors will work 20 hours per week in scheduled daytime office hours, meetings and other engagements with students and/or staff. In addition, CDs serve in an on-call capacity during assigned duty shifts that include continuous evening and weekend coverage. Additional time commitments will be necessary prior to opening of the residences in fall and spring for staff training, building preparations and student check-ins. CDs are permitted to leave their assigned area for 1 weekend per month with the approval of their AC. Requests to take any time off during the week
must be made in advance by writing to the assigned supervisor.


Start Date and Term: The Graduate Community Director is a 10-month academic year position with a start date of August 1, 2023 and an end date of May 31, 2024. Any other work or non-academic commitments should be completed by the start date. CDs are not permitted to hold other employment during this term of employment with the University.


Supervision: The CD is supervised by and works closely with the Area Coordinators and Director of Residential Learning. CDs also work closely with professional staff in Assignments & Administrative Services and Housing Systems & Logistics.


Evaluation: In an atmosphere of constructive feedback, CD performance will be evaluated by the Area Coordinator each semester.


Compensation: The compensation package for this position consists of a tuition waiver (excluding fees or any prerequisite undergraduate class or elective not accepted as a part of the program) for full-time study in a Rowan University graduate program, a furnished apartment in an assigned residence or apartment complex (includes utilities and Internet at no cost), a campus meal plan providing 14 meals a week when classes are in session, as well as an $11,000.00 academic-year stipend ($5,500 per semester) paid on a bi-weekly basis over the course of the contract
term. CDs must be enrolled as full-time Graduate students each semester of their employment.
*Please note that there may be summer employment opportunities available. Summer classes will only be paid for by the office for graduate staff that are employed over the summer.


Conditions of Employment:
● This position is contingent upon availability of funding as approved by the Rowan University Board of Trustees
● In the event of extraordinary circumstances related to the current COVID-19 pandemic, force majeure, or other circumstances beyond the control of the University, this position may be eliminated and this offer may
be deferred or rescinded, or the term of employment may be modified. In that event, the compensation and benefits associated with the position may be modified accordingly.
● This position is covered under the personnel policies of the university, which apply to student positions. Graduate Community Directors must meet all obligations described in this position description and abide by
all other applicable University policies, including the Student Code of Conduct and Student Housing Contract.

University policies in accordance with guidelines given in training.
● This offer of employment is contingent upon your remaining in good student conduct and academic standing.

each semester and continue to evaluate these throughout your employment.

Position Summary:

Assist in the direct supervision of the Intramural Sports and Special Events program, including creation and administration of all sports & events throughout the calendar year.  The Graduate Coordinator will assist with all hiring, training, and development of approximately 30 student employees and will serve an active role in promoting the growth of Campus Recreation as a department on campus.  The goal of this position is to both build on the intramural sports & special event offerings and to develop this individual into a well-rounded and fully-prepared Campus Recreation professional.

Essential Functions/Percentage of Time Spent on Each:

Intramural Sports Programming 40%

· Plan, develop, implement, and evaluate a comprehensive intramural sports program consisting of all team sports, individual/dual sports, and special events utilizing IMLeagues software

· Oversee coordination of team sports and special events alongside student program coordinators

· Coordinate with the marketing department to promote intramural team sports, individual/dual sports, and special events through a variety of mediums (print, social media, e-mail announcers, etc.)

· Lead new marketing initiatives with goal of attracting additional participants to intramural sport offerings including drop-in events, face-to-face marketing initiatives, and other creative options

· Assist with intramural policy development, ejected player meetings, and equipment inventory/purchasing

· Utilize various online, video, and technology platforms for staff training, information, quizzes, and assessment

· Develop participant surveys and focus groups to assess satisfaction and provide opportunity for suggestions

· Attend at least one night/week of intramural sports programming to ensure quality & provide ongoing feedback to student officials & supervisors

Staff & Student Development 20%

· Direct and manage staff scheduling, substitutions, availability, training sessions, & meetings utilizing SubItUp scheduling software

· Recruit, train, schedule, supervise, and evaluate approximately 30 student program coordinators, supervisors, officials, and scorekeepers

· Provide direct supervision of undergraduate student intramural program coordinators and help them develop effective training and evaluation materials for the program

· Provide feedback for student officiating proficiency and give tangible examples for areas of improvement

· Build connections with student staff and initiate conversations relating to their goals and aspirations beyond college and how their position can help them achieve those goals

· Seek comments and suggestions from staff members and participants and decide which suggestions to implement and how to practically make changes


Special Event Responsibilities 10%

· Assist in planning, organizing, scheduling, implementing, and evaluating the Garden State Basketball Officials Clinic

· Promote NIRSA Championship Series Tournaments for student participants and staff

· Collaborate with various departments and student organizations for special events including Late Night at the Rec, Family Weekend Blackjack Walk, Homecoming Battleship, Cooper Medical School Challenge & Cooperative Cups, and any other special events throughout the academic year

· Maintain accurate budgeting records for each special event to ensure fiscal responsibility

· Create post-event summaries to include suggestions for future events

· Organize volunteers and establish clear expectations for their role at each event

· Initiate at least one new special event per semester to bring to the campus community

· Communicate with and secure necessary vendors, contracts, or purchase orders

Additional Responsibilities 30%

· Manage inventory and storage of intramural equipment in various storage spaces

· Coordinate reservations for indoor and outdoor recreation spaces using 25live scheduling software and departmental google calendar

· Communicate usage of space with other departments and services including main office, informal recreation, sport clubs, and aquatics

· Attend bi-weekly staff meetings

· Ability to work evenings and weekend hours

· Assist with Campus Recreation special events, all campus recreation staff trainings and meetings, and other duties as assigned

· Participate in Campus Recreation committees

· Train as a building manager to work a minimum of 1 weekly shift and fill in on shifts as needed/assist with facility management

· Pass van certification to assist in transportation for Campus Recreation special events, conferences/workshops, and University functions

· Assist with Open House events and other marketing/outreach of campus recreation programs

· Develop and administer assessments and evaluations

Minimum Job Requirements:

· Education: Bachelor’s degree and acceptance into a graduate program at Rowan University

· Experience: 1-2 years working within areas of campus recreation sport programs, specifically with intramural sports

· Total package worth approximately $39,000 annually

Position Requirements

The graduate assistantship is contingent upon enrollment in a graduate program. Enrollment in the Higher Education Administration program is preferred, however not required. This position will require some weekend and late night hours. This position requires 20-25 hours weekly to be divided between office and building manager hours. Job Description

· Facilities Management (35%)

o    Assist the Assistant Director in the overall maintenance of the Chamberlain Student Center

o    Perform daily facility inspections to ensure student staff are delivering adequate customer service, inspections for safety and policy adherence

o    Work at least one Student Building Manager shift a week

o    Act as an emergency response and be “on call” for certain situations such as weather and other emergency developments

o    Assist in evaluating and revising Building Manager Manual, Student Center Emergency Action Plan and Risk Management Procedures

· Student Staff Supervision (45%)

o    Assist in the development and coordination of initiatives in the area of student/staff development including staff hiring, training, scheduling evaluation and recognition programs

o    Assist in the selection and training of undergraduate student employees 

· Event Management (10%)

o    Provide on call and on site event support for all events occurring in the Chamberlain Student Center supervise the facility in the absence of the Building Manager/Assistant Director

o    Assist in the packet making process with daily events in the Student Center

· Departmental Support  (10%)

o    Assist with the planning of staff retreats/trainings, banquets, and all-staff meetings

o    Assist with assessment initiatives and data collection

o    Chaperone one SUP off-campus trip per semester

Job Responsibilities

The following description addresses the general duties and responsibilities of the Graduate Coordinator position.   I.      Student Engagement (45%)

· Assist in the overall planning & implementation of the Leadership Certificate Program. Specifically administering the mentor/mentee matching process between students throughout each semester.

· Oversee the Leadership Themed Community, a collaboration between Leadership Rowan & the Office of Residential Learning & University Housing. The Graduate Coordinator will provide support by meeting with students within the community as well as programmatic support to the Community Assistants in the community.

· Act as a small group facilitator for students in order to demonstrate, model, and coach advanced leadership & interpersonal skills as needed within the programs that Leadership Rowan offers.

· Meet with students individually to guide & advise them in their leadership development & involvement on campus.

· Represent the Office of Orientation & Student Leadership Programs at Admissions Open House functions & other Rowan admissions events.

· Assist in the planning of transfer, freshman, and parent & family orientation programs.

II.      Programmatic Support (45%)

Reporting to the Assistant Director for the Office of Volunteerism & Community Engagement (VCE), the Graduate Coordinator is a 10-month graduate student position serving as a key paraprofessional member of the VCE team.

Please note that this position and all positions within the Division of Student Life are contingent upon availability of funding as approved by the Rowan University Board of Trustees.

The Office of Volunteerism & Community Engagement provides programming, resources, and support to promote a Rowan community of active citizens. We work collaboratively with university faculty and community partners to design a range of curricular and co-curricular service-learning opportunities. Students who engage with service learning, volunteerism and community engagement at Rowan will reflect on meaningful volunteer experiences as they develop a lifelong commitment to their communities.

The following description addresses the general duties and responsibilities of the Graduate Coordinator position. This document does not cover all job expectations or specific procedures for completing these responsibilities. All staff will be expected to review and abide by additional policies and specific procedures described in other documents including staff manuals, as well as all local, state and federal laws.

Job responsibilities will vary based on tasks and projects that need to be accomplished and the interests of the Graduate Coordinator, but will include:

 

I: Programmatic Support & Development

-          Coordinate all aspects of Weekly Service Opportunities program, including advertising, volunteer recruitment, community partner communication, program planning, organization, transportation, and follow-up feedback solicitation

-          Maintain participation records for all program activities

-          Coordinate assessment efforts for all programs and assist in the development and evaluation of student learning outcomes

-          Assist in the planning, implementation and execution of “First-Year Connection: volunteerism” program

-          Facilitate personal consultations with individual students as well as student groups interested in volunteer activities

II: Administrative

Qualifications and Requirements

-          Bachelor’s degree and at least 1 year of related/transferable experience in student leadership or programming planning in a university context

-          Strong interest in volunteerism and student engagement

-          Must possess a valid driver’s license and be university van certified (or, must complete van certification prior to start of employment) with a willingness to transport students in university vans regularly

-          Candidates for this position must complete a required disciplinary records disclosure form and submit this form to their undergraduate institution(s). Records of violation of university policies at these institution(s) will be highly scrutinized, but will not automatically preclude employment

-          Must be a full-time graduate student in good academic standing making reasonable progress toward a degree objective

-          Must possess strong decision-making skills with discretion while exercising good judgment

-          Must be able to maintain confidentiality of sensitive student information

-          Must be in good conduct/judicial standing and remain throughout the term of employment

-          Possess strong communication, writing and organizational skills

Expected Time Commitment

The Graduate Coordinator is expected to work 20 hours per week. Business hours are Monday through Friday 8:00am-4:00pm. The position will require occasional weekend and evening hours to facilitate programs, events, and/or meetings as needed. A combination of business week office hours and service project facilitation hours will count towards the 20 hours per week expectation.

 

Start Date and Term

The preferred start date for this position is August 21, 2023 with expected participation in the “First-Year Connection: volunteerism” program (*ANTICIPATED*). The position term extends until May 2024. Hourly wage opportunities may be available prior to as well as after these posted dates.

 

Supervision

The Graduate Coordinator is supervised by the Assistant Director in the Office of Volunteerism & Community Engagement.

 

Evaluation

In an atmosphere of constructive feedback, performance will be evaluated by the supervisor each semester.

 

Remuneration

-          Full tuition waiver (in and out of state), not including fees. Funding is up to 21 credit hours (9/Fall, 9/Spring, & 3/Summer). Funding beyond 21 credit hours will be reviewed by the supervisor

-          On-campus furnished apartment

-          $8000 stipend per year paid on a biweekly basis over the contract term

-          $750 RowanBucks per semester, to be used at the discretion of the Graduate Coordinator

-          Graduate Coordinator parking permit provided

Resumes will be reviewed beginning February 1, 2023. Applications are reviewed and interviews scheduled on a rolling basis. Offers may be made at any time after a student has been admitted to a graduate program. Candidates will be allowed a reasonable consideration period in order to weigh other graduate program and assistantship offers. We will not insist upon a response to the offer until the Council of Graduate School’s April 15th date for responding to offers of financial support. Position is contingent upon active enrollment in a Rowan University graduate academic program as well as availability of funding as approved by the Rowan University Board of Trustees.

Core Responsibilities of the Graduate Coordinator
● Assist with the review and maintenance of accurate housing records, which include room condition reports, damages, and key receipts.
● Oversee all door access operations for campus residences, room keys inventory and security, lock changes/repairs, and loaner keys.
● Be willing to learn and use various computer applications including, but not limited to Microsoft Office, Google Drive, School Dude, RS2, Blackboard, and Adirondack’s The Housing Director.
● Assist with the entry, assignment, and tracking of work orders in a computer database.
● Supervise a staff of up to 16 student workers; prioritize, organize, and assign work to the team.
● Provide ongoing guidance and feedback to student workers to hold them accountable for performance expectations and compliance with department and university policies.
● Assist in the recruitment, selection, and training of HS&L student employees.
● Assist with the reporting and assessment of public area damages in residential buildings.
● Assist with overall support for housing logistics during the summer, including
summer orientation and preparation of buildings for fall move-in.
● Oversee the inventory and distribution of furnishings, supplies, and equipment.
● Provide access to residence halls and apartments for outside contractors and facilities personnel.
● Be available for all housing check in and check out periods, which include fall check in, fall check out, spring check in, spring check out, and early move-in periods.
● Keep regular office hours during the winter and spring breaks when classes are not in session, as the office is still open.
● Be willing to perform routine administrative functions, which may include answering the telephone, alphabetizing records, filing, and assisting office staff as necessary.
● Be available to respond in person or by phone to assess Facilities/Maintenance emergencies on campus. During summer months, be available to assist Conference and Event Services with maintenance or key concerns.
● Respond on an on-call basis as needed.


Duty:
● Participate in the nightly grad staff duty rotation during the academic year as assigned.
● Respond to calls to provide assistance to residents as appropriate.
● Assume responsibility for keys, tools, rosters, and other items - keeping these items safe and in good condition.


Emergencies:
● Intervene in crisis situations by assessing circumstances, responding appropriately, and discerning when additional professional staff or Public Safety should be called.
● Report serious incidents, injuries, or illnesses to professional staff.
● Provide assistance to students in obtaining medical care when needed.
● Remain available at the assigned building to assist and support emergency personnel during emergencies unless directed to or given permission to leave.
● Know and be willing to participate in crisis intervention procedures.


Meetings and Training:
● Must complete required training during the summer.
● Must attend training full time during the summer training period prior to the opening of the residence for fall semester (specific dates and expectations TBA).
● Must attend and actively participate in in-service trainings pertinent to your position throughout the year.
● Participate in weekly staff meetings as scheduled.


Qualifications and Requirements:
● Bachelor’s degree and at least 1 year of related/transferable residence life or other experience in a university context. Experience as a Resident Assistant or other central housing office position strongly preferred.
● Excellent organizational and administrative skills.
● Strong interpersonal and counseling skills.
● Ability to work as a flexible, supportive team member.
● Understanding of Residential Learning and University Housing.
● Excellent computer skills and ability to work in database systems.

Expected Time Commitment: The Graduate Coordinator position requires an extensive time commitment. Graduate Coordinators are expected to work up to 25 hours per week in the summer months, typically 9am-3pm with a one hour lunch break, and 20 hours during the academic year
workweek. (Normal business hours are Monday through Friday between 8:30 AM and 5:00 PM - Graduate Coordinator hours will need to fall within this timeframe and should be spaced out
relatively evenly throughout the week). Regular office hours during the winter term are also required.


Start Date and Term
The preferred start date for this position is May 30, 2023. The position term extends through closing of the residences in summer 2024, including administrative processes associated with closing. As
part of this 12-month position, summer, winter, and Spring Break responsibilities are a required part of this position.


Supervision: The Graduate Coordinator is supervised by and works closely with the professional staff of the Housing Systems and Logistics team.
